Privacy Notice
This notice explains how Health Pod Frodsham Limited collects, uses and protects your personal data, and your rights under UK data protection law.
1. Who we are
Health Pod Frodsham Limited (“we”, “us”, “our”) is the data controller for the personal data described in this notice. Our studio is at 108–110 Main Street, Frodsham, WA6 7AR. You can contact us about privacy at reception@healthpodfrodsham.com.

2. The information we collect
- Booking & contact details — your name, email address, telephone number and appointment details when you book or enquire.
- Contact form messages — the name, email address and message you submit through our website.
- Consultation & health information— the medical history, health conditions, medications and suitability information you provide before treatment. This is “special category” data and is treated with particular care.
- Payment information — processed securely by our payment provider; we do not store your full card details.
- Website & technical data — limited, privacy-friendly analytics about how our website is used.
3. Our lawful bases for using it
- Contract — to take bookings, provide treatments, courses and programmes, and process payments.
- Consent — for optional marketing, and for any use of testimonials or images where consent has been given (which you can withdraw at any time).
- Legitimate interests — to respond to enquiries, run and improve our studio and website, and keep our services secure.
- Legal obligation— to meet accounting, insurance, health & safety and other legal requirements.
- Health information — special category (health) data is processed on the basis of your explicit consent and for the provision of care and treatment, so we can treat you safely.
4. Who we share it with
We do not sell your personal data. We share it only with trusted service providers (“processors”) who help us run our studio, under contracts that require them to protect your data:
- OvatuOnline booking and appointment management
- StripePayment processing (we do not store your full card details)
- ResendDelivering messages sent through our website contact form
- VercelWebsite hosting and privacy-friendly analytics
- Google MapsDisplaying an embedded map on our contact page, which loads from Google when you view that page
Some providers may process data outside the UK; where they do, appropriate safeguards (such as UK-approved transfer mechanisms) are in place. We may also disclose information where required by law.
5. How long we keep it
We keep personal data only for as long as necessary for the purposes above and to meet our legal, insurance and professional obligations. Health and consultation records are retained in line with professional and insurance guidance; contact enquiries are kept only as long as needed to deal with them. When data is no longer needed it is securely deleted or anonymised.

6. Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to erase your data in certain circumstances;
- restrict or object to how we use your data;
- request portability of data you have provided to us;
- withdraw consent at any time, where we rely on consent.

7. Cookies & analytics
Our website uses only limited, privacy-friendly analytics to understand how the site is used. We do not use intrusive advertising trackers. Where any non-essential cookies are introduced in future, we will ask for your consent.
8. Security
Client and consultation information is treated confidentially, with access restricted to those who need it, and appropriate technical and organisational measures are in place to protect your data.
9. Complaints & the ICO
If you have a concern about how we handle your data, please contact us first so we can put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator, at ico.org.uk.

We may update this notice from time to time. The most current version will always be published on this page.
